Project Manager / Virtual Assistant

Location: Lisbon (Portugal) or Remote
Engagement: 20-40 Hours a Week
WHO WE’RE LOOKING FOR: We’re looking for a candidate with at least 2 years working experience who feels comfortable at the intersection of project management paralegal services and legal office management. You have very strong English skills. You also ideally have at least a basic understanding and knowledge of the French language, but this is not a deal breaker.

WHO WE ARE: We help people in the US get dual citizenship in Luxembourg through an ancestor from the country. So our business is a combination of immigration and genealogy. We’re also an LGBT owned and operated mission-driven business. Everyone has worked from home since the Pandemic, but we have an office on Madison Ave in New York and an office in Lisbon.

SCOPE: We’re looking for someone for 4 weeks at about 20 hours a week. If you feel like a good fit for our team and are interested in a long term virtual assistant role we can discuss at the end of the 4 weeks.

-You will be helping us to update all of our file management system, applying correct nomenclature to the files and creating some documents based on set templates where you’ll just need to fill in details based on the client folder
-You’ll need to download our client contracts and put them in the folders
-Update our client management system based on the work that you complete
-Email clients to ask for missing documentation
-Research topics for the company as needed
-If you stay longer than 4 weeks, you’d be involved in creating citizenship application paperwork after training

-You are very familiar with Dropbox, Google Docs, Google Sheets, Microsoft Office
-Experience with WordPress, Gravity Forms, Photoshop and HTML are a considerable plus
-Some knowledge of the French language is a huge plus
-You have a background in law, paralegal services, project management, customer success and/or client relations.
-Highly organized.
-Good sense of humor, down with team spirit but also good working in a 100% remote environment as an independent contributor. You’ll need to be a self starter but we’ll always be around to answer your questions and support you.
-Data entry.
-Interested in International relations, travel, Europe, languages, living/moving abroad, genealogy, just generally curious and open to the world. If you like any of those things, we have a pretty unique international environment to offer you and tons of opportunity to learn and create. We have to get 500 Americans to Europe this year. It’s no small task.

Other various tasks come up from time to time.

We have a global team and over 1200 clients.  It’s a very informal, fun, and international atmosphere.
